The Calendar

Your whole book at the top of Projects, by month, week or day. Book someone in, drag work to a new day or time, and keep an honest record of what actually happened - no setup needed.

How it works

01
Find it
The calendar sits at the top of Projects - the page you land on when you sign in. It draws from your clients, so there is nothing to set up: every appointment you record on a client shows up here automatically. Want it in Google Calendar too? Connect it once from Account - see Google Calendar.
02
Book someone in
In Month view, tap an empty day, or the + in the corner of a day that already has work on it. In Week or Day view, tap an open spot in a day and it starts at that time, to the half hour - or hit the + beside the date. It already knows the date, so it only asks who - find an existing client or add a new one right there. Pick what it is: Tattoo Session, Consultation, Touch-up, or Other, where you type your own title.

Choosing the kind sets the length for you - a session runs 4 hours, a consult 30 minutes, a touch-up or Other an hour - and you can change it to anything from 30 minutes to 8 hours. A start time is optional; add one and the end time works itself out.

Those are the defaults. Book differently? Set your own types and how long each one runs under Appointment Types in Account - your list replaces this one. Other is always there for a one-off. The same card sets a start time every booking opens with, and the steps and longest length of the length picker - 15-minute steps, or up to 12 hours.

03
Or drag them on
You can drag a client straight from the panel beside the calendar onto a day in Month view, which books them in one movement. Already-booked work moves the same way: drag the chip to another day. In Week or Day view you can drop it on a new time as well - it keeps its length, and the time shows before you let go. On an iPad, press and hold a chip to pick it up. Change your mind and you have about fifteen seconds to undo it.
04
Month, week or day
In Month, click a day with work on it to open the list of what is booked, under the grid. Add appointment at the top books another on that day. Each row carries the time, what it is, and where it stands - plus Edit to change the date, the time, what it is or how long it runs, and the bin to take it off. The arrow opens the client.

Switch to Week or Day in the calendar header and each appointment sits at its start time, drawn as long as it runs - what the day actually looks like, not just that something is booked. Tap one to edit it; the client is one more tap from there. The same goes for Today & Tomorrow on the Dashboard.

05
When it falls through
Use the bin and it asks what happened before anything is removed: They cancelled, I cancelled, or They didn’t show. The appointment comes off the calendar but stays on the client’s record - which is what makes their history worth reading later.

Your own cancellations are never counted against a client. Rescheduling your week should not make your regulars look unreliable.

Delete it sits below those, needs a second tap, and erases the appointment entirely with no undo. That one is for a mistake, a test, or a duplicate - not for a booking that genuinely fell through.

06
Nothing gets lost
An appointment with no date set collects under Unscheduled, just above the grid, instead of disappearing. Incoming Requests from your public booking link sit in the calendar header, where you accept, decline, or bin them as junk.
07
Reminders go out for you
Every booked client with an email gets a reminder from your shop a week before, three days before, and the day before - at 8 AM in your time zone, or the hour you pick under Client Reminders in Account. Someone you book for tomorrow afternoon does not also get a “tomorrow” email that morning.

A client can stop them from the email; their record then says so, with a way to turn them back on. Switch them off for everyone in Account.

08
Confirmed, and moved
Each reminder has a link where the client confirms the appointment or adds it to their own calendar. A confirmed one says Confirmed on the calendar and on their record.

Move an appointment a client already heard about, and they get the new time a minute later - after the undo, so a drag you take back emails nobody. Moving it clears their confirmation, because they confirmed the old time. Cancelling emails no one.

Appointments live on the client too - open anyone from Clients and their Appointments tab holds the same bookings, where each one can be downloaded as a calendar file. Connect Google Calendar from Account and they all sync there on their own.
